Dear Sir/Madam,

RE: FORMAL NOTICE OF CANCELLATION AND RESCHEDULING OF EVENT — ________

We write in respect of the above-named event and, in accordance with the terms of the agreement and/or ticket conditions governing the same, hereby give you formal notice as follows:

1. Notice of Cancellation
   Please be informed that the ________ event ("the Event"), originally scheduled to hold on ________ at ________, will no longer proceed on the said date and at the said venue.
2. Reason for Cancellation
   The cancellation has become necessary for the following reason(s):

   ________

   Where the said reason constitutes an event of force majeure, including (without limitation) acts of God, fire, flood, epidemic or pandemic, governmental directive, civil unrest or any other circumstance beyond our reasonable control, the rights and obligations of the parties shall be governed by the relevant provisions of the applicable contract and the principles of frustration under Nigerian law.
3. Rescheduled Event
   The Event has been rescheduled to ________. The particulars of the rescheduled Event are as follows:

   The new venue shall be at ________, and existing tickets and/or registrations shall, save as otherwise stated herein, remain valid for the rescheduled Event.
4. Option to Attend or Obtain a Refund
   You are kindly offered, at your sole election, one of the following options:
   1. to attend and participate in the rescheduled Event on the new date and at the new venue stated above; or
   2. where you are unable to participate in the rescheduled Event, to receive a full refund in the sum of ₦________ (________), being the full amount paid by you in respect of the Event.
5. Procedure and Time for Election
   To elect the refund option, kindly notify us in writing on or before ________, providing your payment and bank account details. Any approved refund shall be processed and remitted within ________ of receipt of your valid request. Where no election is received within the stipulated period, your ticket/registration shall be deemed to remain valid for the rescheduled Event.
