Dear Colleagues,

§1. Notification of Departure

1.1 This Memorandum is issued to formally notify all members of staff that ________, holding the position of ________ within the ________ Department, will cease to be an employee of the Company with effect from ________ ("the Effective Date").

§2. Background of Service

2.1 ________ joined the service of the Company in the year ________ and has, throughout the tenure of employment, discharged the duties of the office of ________ with commendable diligence, professionalism and dedication.

§3. Handover and Continuity of Operations

3.1 The departing employee shall complete a formal handover of all duties, responsibilities, files, records, equipment and property of the Company to ________ on or before the Effective Date.

3.2 All pending matters, official correspondence and ongoing assignments hitherto handled by the departing employee shall, with effect from the Effective Date, be directed to ________ to ensure uninterrupted continuity of the Company's operations.

§4. Confidentiality and Post-Employment Obligations

4.1 Staff are reminded that the departing employee remains bound by all surviving contractual obligations, including the duties of confidentiality, non-disclosure and the protection of the Company's proprietary information and trade secrets, which obligations continue notwithstanding the cessation of employment.

4.2 All staff shall observe the requirements of the Nigeria Data Protection Act 2023 and the Company's data protection policy in relation to any personal data of the departing employee, and shall not disclose such data save as may be lawfully required.

§5. Farewell Event

5.1 In recognition of the period of service rendered, the Company shall host a farewell gathering in honour of ________ on ________ at ________ at ________.

5.2 All members of staff are cordially invited to attend and to bid a fond farewell.

§6. General

6.1 Enquiries arising from this Memorandum may be directed to the office of the undersigned or to the Human Resources Department.

6.2 This Memorandum is issued for internal information purposes only and does not vary or affect the terms of any existing contract of employment.
